As we grow, we’re seeking our first full-time Operations Manager to oversee the daily operations of our business and ABA therapy clinic, ensuring seamless service delivery and operational excellence.

Job Summary

We are seeking a proactive and detail-oriented Operations Manager to lead and oversee all operational aspects of Triangle ABA’s business and ABA therapy clinic. This role will manage scheduling, inventory and building management, and client intake processes, while also supporting additional operational needs as directed by the leadership team. The ideal candidate is an organized leader with strong problem-solving skills and a passion for supporting a mission-driven team delivering impactful ABA therapy.

Key Responsibilities

  • Oversight of Business and Clinic Operations:
  • Manage daily operations of the ABA therapy clinic to ensure efficient and high-quality service delivery for clients and families.
  • Collaborate with leadership to align operational strategies with Triangle ABA’s mission and business goals.
  • Scheduling:
  • Develop and maintain staff and client schedules to optimize therapist availability, client session times, and clinic resources.
  • Monitor scheduling efficiency to minimize conflicts and ensure compliance with therapy plans and regulatory requirements.
  • Inventory and Building Management:
  • Oversee inventory of therapy materials, office supplies, and clinic equipment, ensuring adequate stock and cost-effective procurement.
  • Manage facility maintenance, including coordinating repairs, ensuring a safe and welcoming environment, and complying with health and safety regulations (e.g., OSHA).
  • Client Intake Process:
  • Streamline and manage the client intake process, from initial inquiries to assessments, ensuring a compassionate and efficient experience for families.
  • Coordinate with clinical staff to ensure intake processes align with therapy plans and insurance requirements.
  • Support Additional Operations:
  • Provide operational support for initiatives as directed by the leadership team, such as process improvements, staff training programs, or expansion projects.
  • Assist in implementing new systems or technologies to enhance clinic efficiency and client care.
  • Compliance and Reporting:
  • Ensure operational compliance with federal, state, and local regulations, including healthcare standards (e.g., HIPAA, OSHA).
  • Track and report operational metrics (e.g., client satisfaction, staff utilization, inventory costs) to inform leadership decisions.

Qualifications

  • Experience:
  • 5+ years of operations management experience, with at least 1–2 years in a supervisory or leadership role, preferably in healthcare, therapy, or a client-facing organization.
  • Proven expertise in managing scheduling, inventory, and facility operations in a fast-paced environment.
  • Background in overseeing client intake or customer service processes, ideally in a healthcare or therapy setting.
  • Education:
  • Bachelor’s degree in Business Administration, Operations Management, Healthcare Administration, or a related field (Master’s degree or certifications like CPOM or Lean Six Sigma preferred but not required).
  • Skills:
  • Strong organizational and multitasking skills to manage scheduling, inventory, and client intake simultaneously.
  • Excellent leadership and communication skills to collaborate with clinical staff, leadership, and families.
  • Proficiency with operational software, such as scheduling tools (e.g., Calendly), inventory management systems, or practice management platforms (e.g., CentralReach).
  • Problem-solving ability to address operational challenges, such as staffing shortages or facility issues, with minimal disruption.
  • Knowledge of healthcare regulations (e.g., HIPAA, OSHA) and operational compliance requirements.
  • High emotional intelligence and a commitment to fostering a supportive, inclusive environment aligned with Triangle ABA’s mission.
  • Preferred Qualifications:
  • Experience in ABA therapy, autism services, or healthcare operations, particularly with client intake or scheduling for therapy services.
  • Familiarity with operational analytics to drive data-informed decisions, such as optimizing staff schedules or reducing inventory costs.
  • Knowledge of North Carolina healthcare regulations and facility management standards.
  • Experience implementing process improvements or operational systems in a growing organization.

Job Type: Full-time

Pay: $62,446.00 - $75,458.00 per year
